FileInvite is a powerful tool designed to streamline the process of requesting and managing documents from clients, employees, or stakeholders. This guide will walk you through the key features and steps to effectively use FileInvite.

Getting Started

1. Logging In

To begin using FileInvite, log in to your account with your registered email and password. If you don’t have an account yet, sign up on the FileInvite website by providing your email and setting a secure password. After signing up, you may need to verify your email address before gaining full access.

If you forget your password, use the "Forgot Password" link on the login page to reset it. Follow the instructions sent to your email to create a new password and regain access to your account.

2. Creating a New Invite

  • Click on the "Create Invite" button on the dashboard.

  • Enter the recipient’s name and email address.

  • Add a subject line and a personalized message explaining the document request, ensuring clarity in your instructions.

  • Specify the urgency of the request by setting a due date.

  • If you expect multiple files, structure your request clearly to help recipients understand what they need to provide.

3. Adding Requests to an Invite

  • Click "Add Request" to specify the documents you need.

  • Provide clear instructions for each document, such as acceptable file formats and size limits.

  • Enable automatic reminders to follow up on pending submissions, reducing the need for manual follow-ups.

  • If applicable, allow recipients to upload additional supporting documents that may not have been explicitly requested.

Managing Requests

Tracking Document Submissions

  • Navigate to the "Invites" tab to view all active requests.

  • Check the status of each request.

  • Click on an invite to see details, including uploaded documents and recipient interactions.

  • Use filters to sort requests based on description, status, last activity date, or create date to quickly find specific invites.

Resending an Invite

Approving or Rejecting Documents

  • Review submitted files by opening each document.

  • Approve files that meet your requirements or request corrections.

  • Provide feedback directly within FileInvite to guide necessary changes.

  • If a document is incorrect or incomplete, specify the required revisions and set a new deadline for resubmission.

Additional Features

Templates for Recurring Requests

  • Save time by creating templates for frequently requested documents.

  • Go to "Templates", create a new template, and customize it.

  • Use the template when creating new invites to standardize requests.
