Create a New Template
Learn how to create and configure a template in FileInvite. Templates let you define a reusable set of document requests, messaging, and settings so every Invite you send starts from a consistent, ready-to-use structure.
- If your Fileinvite Login URL ends in fileinvite.com, please use this knowledge base instead.
- Templates are available only to users with an Organisation Owner, Admin, or User role. Learn more about user roles and permissions here.
Navigation and Create Template
To create a template from scratch, click the Templates icon in the left sidebar, then click Create Template in the top-right corner of the Templates page.

The Create New Template page opens with a default New File Upload Request already added and autosave enabled. You will see a "Template created successfully" confirmation at the bottom of the page.
Template Details and Invite Settings sections
The page is divided into two sections:
Template Details
- Template Name — the internal name for the template as it appears on the Templates page. Limited to 100 characters.
Invite Settings
- Subject line — the subject line of the email your borrower receives when an Invite is sent from this template. Limited to 100 characters.
- Message to client — the body text of the email. Use this to explain the purpose of the template, its requests, and any helpful information for the borrower. Supports bold, italic, underline, hyperlinks, and lists.

Reminder Settings
Click Reminder Settings in the top-right corner of the Invite Settings section to configure the following:
- Almost Due Reminder — notifies borrowers before the due date. Options: 1 day before due, 2 days before due, a custom number of day/s before due, or Never (default).
- Ongoing Reminder — sends recurring reminders until the Invite is completed or manually stopped. Options: Weekly (every 7 days), Fortnightly (every 14 days), Monthly (every 30 days), or Never (default).
Both reminders default to Never. Any Invite created from this template will automatically inherit these reminder settings. See Ongoing Reminders for full details.
Overdue Reminders stop after two weeks or when the client actions the invite, whatever happens first.

Note: Due dates are set per Invite, not at the template level. When creating an Invite from this template, you can optionally set a due date at that point. See Optional Due Dates for more details.
Requests section
A default New File Upload Request is included automatically. Click the arrow to expand it and update the name, type, and instructions as needed.
To add a new request, click + Create a Request at the bottom of the requests list. For each request, select the appropriate Request Type from the dropdown:
- File Upload — borrower uploads a document
- Form — borrower completes an online form
- Read Only — displays information or instructions to the borrower without requiring a response
To reorder or organize requests into named groups, click Organize Requests in the top-right corner of the requests section. Groups appear as collapsible sections in the borrower's Client Portal, making it easier to navigate large document sets.

Save Template reference
Changes are saved automatically as you work — you will see "Your changes are being automatically saved." confirmed in the top-right corner of the page. When you have finished configuring the template, click Finish Editing to return to the Templates page.

The template can now be used when creating an Invite.
