Invites Management Page

The Invites page is your landing page when you first log in to your account. See below for more details on how to take advantage of this tool.

If your Fileinvite Login URL ends in fileinvite.com, please use this knowledge base instead.

 

 Note: Some users will see a Feature Announcement pop-up on the login page introducing this redesign—proceeding from that pop-up enables the New Design toggle automatically on your next login. If you don't see this pop-up, the redesign is available on request — contact your FileInvite representative to have it enabled on your account. Once enabled, the New Design toggle in the top-right corner lets you switch between the redesigned and classic layouts at any time. Switching back to classic prompts you to confirm, since request-level comments aren't available in the classic layout. See Introducing a More Intuitive Invite Experience for what's new in the redesign. 


Navigating to Invites

To access your Invites, click the Invites icon (✉️) in the left sidebar. The Invites menu will expand, showing the following options:

  • Manage Invites — View and manage all your active Invites
  • Recurring Invites — View and manage Invites set to send automatically on a recurring schedule 
  • Draft Invites — View Invites that have been saved but not yet sent
  • Archived Invites — View Invites that have been archived
  • Collation History — View your history of collated files

Manage Invites

To view your Invites, click the Invites icon in the left sidebar and select Manage Invites.



The Manage Invites page displays all your Invites with the following columns:

  • Invite Reference — The name of the Invite, with a status badge (e.g., NO PROGRESS, COMPLETE, OVERDUE)
  • Contacts — Full names of the contact(s) on the Invite, displayed inline
  • Progress — Percentage of completion with a visual progress bar
  • Scheduled Date — The date the Invite is scheduled to be sent (if applicable)
  • Due Date — The deadline for the Invite
  • Last Activity — How long ago the last action occurred on the Invite

Each Invite row includes a three-dot menu (⋮) on the far right with the following quick actions: 

  • Copy Invite Link — Copies the Invite's Client Portal link to your clipboard
  • View — Opens the Invite Overview page
  • Edit Invite — Opens the Invite for editing
  • Duplicate Invite — Creates a copy of the Invite
  • Archive Invite — Moves the Invite to Archived Invites
  • Mark as Completed — Marks the Invite as complete

Views

At the top-left of the page, the Views dropdown allows you to switch between saved views (e.g., All Invites). Click Reset to return to the default view. Use Save View and Settings in the top-right to save or configure custom views.

Sort By

Use the Sort By dropdown to reorder your Invites list:

  • Newest Invites First (default)
  • Oldest Invites First
  • Most progress
  • Least progress

 

Export CSV

Click the Export CSV button next to the Sort By dropdown to download your current Invites list as a CSV file.

Column Filters

Click the Column Filters button next to the search bar to open the Columns panel. From here, you can:

  • Toggle any column on or off to control what's visible in your Invites list
  • Drag a column using the handle (☰) next to its name to reorder it

Available columns include: Invite Reference, Status, Contacts, Progress, Created Date, Scheduled Date, Due Date, Last Activity, Point of Contact, Assignee, Company, Team, Watchers, Reminders, and Number of Requests.

Search

The search bar now supports searching by contact name and invite name in addition to other search terms, making it faster to locate specific Invites from large lists. Begin typing in the Search field and the list will filter in real time. Use the Search by invite reference or contact bar in the top-right to quickly locate a specific Invite by name or contact details.

Filter

Click the Filter button to narrow your Invites list. The Filter panel allows you to filter by:

  • Point of Contact — Search by team member name or email
  • Contact — Filter by borrower/client
  • Contact List — Filter by contact list
  • Company — Filter by associated company
  • Assignee — Filter by assigned team member
  • Assigned Team — Filter by team
  • Invite Status — Filter by current status

 


View Invite Page

Clicking an Invite from the Manage Invites page opens the View Invite page for that Invite.

Header

At the top of the page, you'll see:

  • Invite Name — Displayed next to "View Invite." Click the pencil icon (✏️) next to the name to edit it.

On the right side of the header:

  • Privacy — Opens the Invite Privacy dialog
  • Messages — Opens the Messages panel
  • Invite Actions — Opens the Invite Actions dropdown

Contacts

The right-hand sidebar's Contacts panel lists the contact(s) assigned to the Invite as a tag. Click a contact's tag to open their Customer Portal directly.

Note: Opening the Customer Portal as a sender allows you to view exactly what the borrower sees, complete forms on their behalf, and verify that all requests and instructions display correctly.

Schedule

The Schedule panel in the right-hand sidebar shows:

  • Send Now (or the scheduled send date/time, if the Invite is scheduled for later)
  • Reminders — Shows No reminder set, or the configured reminder schedule if one has been set

Invite Settings

The Invite Settings panel in the right-hand sidebar contains:

  • Point of Contact — The team member assigned as the primary contact for the borrower
  • Assignee — The team member responsible for managing the Invite internally
  • Team — The team assigned to the Invite (click to search and assign a team)
  • Watchers — Users who receive notifications for this Invite (click + to add watchers)

Request Groups

The main area of the page displays the Invite's Request Groups as collapsible cards. Each request within a group shows its name and a status badge (e.g., NO PROGRESS, COMPLETE, OVERDUE). Click the arrow (›) next to a Request Group to expand or collapse it.


Privacy

Click the Privacy button in the top-right corner to open the Invite Privacy dialog. This shows:

  • Search users and teams to add — Search bar to grant access to additional users or teams
  • General Access — The default access level for this Invite (e.g., organisation-wide)
  • Current Access — A list of all users and teams who currently have access, with their role (e.g., Creator, Point of Contact, Account)

Click Save Changes to update privacy settings, or Cancel to discard changes.

 

 


Invite Actions

Click the Invite Actions dropdown in the top-right corner to access the following options:

  • Edit Invite — Open the Invite for editing
  • Create Follow-Up — Create a follow-up Invite
  • Send Portal Link — Send the Client Portal link to the contact(s)
  • Mark as Complete — Mark the Invite as completed
  • Download Files — Download all files from the Invite
  • Collate Files — Collate all files into a single document
  • Resync Files to Cloud — Re-sync files to your connected cloud storage
  • Invite Activities — View the Activity Log and Invite Log for this Invite
  • Duplicate Invite — Create a copy of the Invite
  • Archive Invite — Move the Invite to Archived Invites
  • Print Invite — Print the Invite details

Invite Activities

Invite Activities gives you a detailed, chronological record of all actions taken on an Invite by both borrowers and senders, without needing to export a CSV file.

Ongoing Reminders

Ongoing reminders replace overdue reminders and continue sending until the Invite is completed or manually stopped — with no automatic cutoff.

 


View Messages

 Click the Messages button in the top header bar to open the Messages panel. The panel slides open alongside the Requests, displaying: 

  • Messages header with a refresh icon to check for new messages
  • Message history — All messages sent between you and the contact(s) on this Invite (displays "No messages sent yet" if no messages have been exchanged)
  • Message field — Type your message (up to 500 characters)
  • Select Recipients — Choose which contact(s) to send the message to
  • Send button — Click to send your message

Messages sent here will also appear in the contact's Customer Portal, and any replies from the contact will be visible in this panel.


New Design for View Invite

Note: Some users will see a Feature Announcement pop-up on the login page introducing this redesign—proceeding from that pop-up enables the New Design toggle automatically on your next login. If you don't see this pop-up, the redesigned layout is available on request — contact your FileInvite representative to have it enabled on your account.

A New Design toggle in the top-right corner of the View Invite page switches between the redesigned layout and the classic layout at any time. Enabling it adds:

  • Filter by Contact and Filter by Status dropdowns in the Requests panel
  • Request-level comments for asking a Contact a question about a specific request, separate from the general messaging described above in View Messages
  • Drag-and-drop reordering of requests and Request Groups directly on the list
  • Bulk actions for reassigning or deleting multiple requests at once — distinct from the Bulk Actions described below, which apply to entire Invites on the Manage Invites list

Note: Switching back to the classic layout prompts you to confirm, since request-level comments aren't available there.

Bulk Actions

You can now act on multiple Invites at once from the Manage Invites page. Each row includes a checkbox, and selecting one or more Invites reveals a bulk action bar with options to Archive, Change Point of Contact, or Change Due Date in a single step.

Optional Due Dates

Due dates on Invites are now optional. You can leave the Due Date field blank when creating or editing an Invite — useful when completion timelines are flexible or uncertain.

 

 

 


Enhanced Invite Organization

Invites created with grouped requests will display their organizational structure, making it easier to identify and manage complex document collection scenarios.

Reporting and Analytics

Advanced Management Insights you access to enhanced reporting through the Management Insights dashboard:

Team Pipeline Status:

  • Real-time view of invite progress across all teams
  • Track completion percentages and average processing times
  • Identify teams that may need additional support or resources

Invite Distribution Analytics:

  • See how invites are distributed across your organization
  • Monitor workload balance between teams
  • Plan resource allocation based on volume trends

Template Performance Metrics:

  • Track usage frequency for each template
  • Monitor completion rates by template type
  • Identify which templates are most effective
  • Optimize your template library based on performance data

Accessing the Reports:

  1. Navigate to the Management Insights section
  2. Select your desired date range
  3. Choose specific teams or view organization-wide data
  4. Export data for further analysis if needed
