Enhancement: Follow-Up Limits & Invite Request Management

Summary:

We have updated the follow-up and request management experience to improve clarity and prevent errors related to request limits in invites. These changes ensure users can efficiently manage follow-ups and avoid exceeding system limitations.

Enhancement Details:

  • Follow-Up Limit Label Removed – The Invite Actions menu no longer displays a counter for follow-ups.

  • Clarified Follow-Up Page Text – Removed outdated references to a two-follow-up limit.

  • New 100-Request Limit per Invite:

    • Users can now add up to 100 total requests per invite.
    • The "Create Follow-Up" button is disabled once the limit is reached, with a tooltip indicating the maximum has been met.
    • A validation message now appears when attempting to exceed 100 requests.
  • Template Handling Improvements:

    • Creating Templates: The "+ Create a Request" button is disabled when 100 requests are reached.
    • Loading Templates: If a loaded template would push the total over 100 requests, a warning modal appears, allowing users to confirm overwriting existing requests.
    • Merging Templates: Users merging templates that exceed the limit now see a warning modal before proceeding.

These updates enhance usability by preventing unexpected errors, ensuring better request management, and improving overall workflow efficiency.

SharePoint Integration in FileInvite

We’ve introduced a SharePoint Integration that allows you to connect your SharePoint account to FileInvite, enabling seamless document storage and retrieval.

Key Features:

  • Auto-Sync with SharePoint: Documents uploaded to FileInvite can now be automatically stored in a designated SharePoint folder.
  • Folder Structure Control: Customize how your FileInvite folders and documents are organized in SharePoint.
  • User Access Management: Control which users can connect and configure SharePoint settings.
  • Enhanced Security: OAuth authentication ensures secure access to your SharePoint environment.

Introduced the Assignee feature to improve internal team coordination when working on invites.

  • Allows tracking of which team member is actively working on an invite.
  • Supports searching and assigning eligible team members directly from the Manage Invite page.
  • Includes tooltips and default placeholder status when no team member is assigned.

CHANGES

  • Visibility of Assignee Field:

    • Displayed only for active invites on the Manage Invite page.
    • Hidden for Draft or Archived invites to reduce clutter.
  • Tooltip Implementation:

    • Added an info tooltip displaying: "Who is working on this invite, shown internally only."
  • Search Functionality:

    • Dynamically filters eligible team members (Organization Owner, Admin, User roles) based on input.
    • Includes a "(Myself)" tag next to the current user’s name for clarity.
    • Displays “No results found” when no matches are available.
  • Permissions Update:

    • Viewers can see the Assignee field but cannot make changes.
    • Only Organization Owner, Admin, and User roles can assign or unassign team members.

FIXED

  • Notification Behavior Improvements:

    • Assignees no longer receive Invite Sent notifications to avoid redundancy.
    • Added new notifications specifically for Assignees with an additional header:
      "You're receiving this as assignee on this invite."

    Scenarios Addressed:

    • Correct email content updates for events such as “Invite Ready for Review” and “Invite Completed.”
    • Fixed overlaps in POC, Watcher, and Assignee notifications.
  • Default State Handling:

    • Resolved an issue where new invites occasionally displayed incorrect Assignee status.
    • Ensured consistent "Unassigned" placeholder when no team member is assigned.

  • Invite Watchers Feature
    • Introduced the Invite Watchers functionality to enhance collaboration and visibility on invites.
    • What It Does:
      • Allows users to assign additional individuals (Watchers) to specific invites.
      • Watchers receive email notifications for key updates on the invite, such as:
        • Field changes or rejections.
        • Submission reminders.
        • Completion of the invite.
      • Ensures stakeholders who need to stay informed can do so without being actively involved in managing the invite.
    • Who Can Be a Watcher?
      • Any team member in the account can be assigned as a Watcher to an invite.

CHANGES

  • Notification Settings Update: Users can now opt in or out of notifications as watchers directly from their profile preferences.
  • Enhanced UI for Watcher Management, making it easier to view and assign watchers when managing invites.
  • Improved notification delivery flow for invites with multiple watchers to ensure timely updates.

  • Teams Navigation Added: Introduced a "Teams" link in the navigation bar, enabling users to access the new Teams page.
  • Enhanced Team Management: Users can now create, edit, and delete teams, search for teams and members, and sort team names for efficient management.

    • Search functionality allows users to filter by team or member name.
    • Pagination added for streamlined browsing of large team lists.
    • Sorting options available for team names (A-Z or Z-A).
  • Validation and Feedback: Clear error validation for mandatory fields like team name and members, along with success messages for user actions.


FIXED

  • Addressed inconsistencies in displaying team members:
    • Teams with three or fewer members display names separated by commas.
    • Teams with more than three members show the first three names followed by an ellipsis ("...").

Update to "Load Template" Functionality:

  • Enhanced the "Load Template" feature in the "Create Invite" page to offer more control when managing requests.

CHANGES

Template Loading Behavior:

  1. Single Request in Invite:

    • Overwrites the single existing request with the requests from the selected template.
  2. Multiple Requests in Invite:

    • If total requests exceed 50 after loading the template:
      • A dialog notifies the user about the limit.
      • Options provided:
        • Overwrite existing requests with the template's requests.
        • Cancel and return to template selection.
    • If total requests are within the limit:
      • Appends the new requests to the existing ones without any prompt.

Dialog Update for Request Limits:

  • Introduced a user-friendly prompt to handle situations where total requests exceed the system limit of 50.

UI Update to the Request Section:

  • Added a new feature to the request section:
    "Who should complete this request?" dropdown menu, which lists contact names associated with the invite for easier request assignment.

CHANGES

  • Dropdown Menu Addition:
    A new section labeled "Who should complete this request?" now appears in both new invites and request details, with a dropdown menu listing all contact names tied to the invite. This allows users to select the appropriate contact for completing the request.
