Un-Archive Invite: Restoring Archived Invites to Active Status

The Un-Archive Invite feature allows users to restore archived invites to active status. This feature is designed to provide greater flexibility for organizations managing workflows and dealing with invites that need to be revived for further action. Whether it’s a revived deal, a reopened workflow, or simply an invite that was archived by mistake, this feature streamlines the process of returning invites to active status.

Key Features

  • Un-Archive Option in Invite Actions: Users can easily un-archive invites directly from the Invite Actions menu.

  • Point of Contact (POC) Selection: When un-archiving, a valid Point of Contact (POC) from your team must be selected to ensure proper assignment.

  • Due Date Confirmation: A valid due date is required when un-archiving an invite, and if the due date is in the past, an error will prevent the un-archiving.

  • Notification Options: Users can choose to notify involved contacts when un-archiving an invite.

  • Activity Log Updates: All un-archive actions are logged in the activity log for better transparency.

How to Un-Archive an Invite

Follow these steps to un-archive an invite and restore it to active status:

Step 1: Access the Archived Invites Section

  1. Navigate to the Invites page.

  2. Select the Archived Invites tab to view all archived invites.

Searching Archived Invites.

The search bar in the Archived tab now supports searching by contact name and invite reference, in addition to invite name. This makes it easier to locate specific archived Invites without scrolling through the full list.

To search:

  1. In the Archived tab, enter a search term in the search bar
  2. You can search by:
    • Invite name
    • Contact name
    • Invite reference
  3. Results update to show matching archived Invites

Step 2: Select the Invite to Un-Archive

  1. From the list of archived invites, select the invite you want to un-archive.

  2. Click on the Invite Actions menu on the upper right side of the invite.

  3. Click on Un-Archive Invite.

Step 3: Check Invite Details and Confirm Un-Archive

After clicking on the archived Invite, the Un-Archive Invite: Check Invite Details dialog will appear. Complete the following fields:

  • Who is Point of Contact? — Select a valid team member to assign as the POC
  • What is the Due Date? — Set a valid future date (past dates will return an error)
  • Notify contacts? — Choose Yes, notify to send email notifications to the contact(s), or Don't notify to restore silently

Once all fields are completed, click Next to confirm. A success toast will appear confirming the Invite has been un-archived and moved to the Manage Invites page, with a View Invite link for quick access.

Un-archiving an Invite will reopen the Customer Portal(s) for the contact(s) on that Invite.

Permissions

  • Organization Owners and Admins have access to the un-archive feature.

  • Viewers will not see the un-archive option in the Invite Actions menu.

 

Important Notes

  • POC Selection: Make sure that a valid Point of Contact (POC) is selected when un-archiving an invite. If no POC is selected, the un-archive action will not proceed.

  • Due Date: Always verify the due date when un-archiving an invite. A past due date will prevent the invite from being restored until corrected.

  • Notification Preferences: Be mindful of notification preferences. If notifications are enabled, users will receive emails regarding the un-archiving action.

Troubleshooting

  • Error: "Invalid Due Date"
    If you receive an error stating the due date is invalid, make sure the selected date is in the future. The system will not allow un-archiving with a due date in the past.

  • Error: "No Point of Contact Selected"
    This error occurs if you attempt to un-archive an invite without selecting a valid POC. Ensure that a team member is assigned to the invite before proceeding.

  • Un-Archive Action Not Visible
    If the un-archive option is not visible in the Invite Actions menu, ensure that you have the necessary permissions (Organization Owner or Admin role). Viewers will not have access to this option.
